Overview
LinkSquares users encounter unique terminology when navigating the platform from onboarding and beyond. This page provides clarification from the simplest of terms to the most complex.
General
App Selector
The app selector is the square icon that consists of nine smaller squares in the upper left-hand corner of the LinkSquares platform.
Click the app selector to quickly switch between products, the LinkSquares Clause Library, and settings.
Clause Library
The Clause Library is a repository for your clauses. Build, maintain, and utilize your custom clause playbook directly within the LinkSquares platform.
All LinkSquares users can view and export clauses within the Clause Library. Only Administrators and Managers can create and edit clauses and clause categories.

Deployment Review Call
The Deployment Review Call is a check-in call that highlights progress, identifies blockers, and ensures mutual buy-in as it pertains to the LinkSquares implementation. This call occurs approximately 90 days after joining LinkSquares.
The Deployment Review Call includes the project team and executive sponsor and entails a status check-in of current progress, outstanding progress, and tracking against goals.
Go-Live
Go-live is the final stage of implementation, meaning the onboarding process of a particular product has been completed and you are going live with that product.
Individual Agreement View
Select an agreement from the main Agreements page of both Analyze and Finalize to reach the individual agreement view.
The Analyze individual agreement view outlines the agreement details, including the agreement itself, supplementary documentation, and agreement-related tasks.
The Finalize individual agreement view outlines the agreement details, including all agreement versions and any associated activity, information, or tasks.

Launch
Once onboarding is completed, your next phase is launch.
Launch is a high-touch portion of the LinkSquares customer journey to ensure important platform milestones are achieved, allowing for proper adoption of the LinkSquares product.
LinkSquares Dashboard
The LinkSquares Dashboard feature is a data visualization tool that allows users to get more insight into their agreements.
Through the LinkSquares Dashboard, get a bird's-eye view of the key metadata across all agreements and more via digestible, intuitive visualization.
Go to the LinkSquares Dashboard at any time by selecting Dashboard from the navigation bar.

Main Agreements Page
After logging in to Analyze, you will be brought to the main Agreements page. The main Agreements page offers a centralized place to view uploaded agreements within the repository.
After logging in to Finalize, you will be brought to the main Agreements page. Within Finalize, the main Agreements page offers a centralized place to view in-flight agreements.
Go to the main Agreements page at any time by selecting Agreements from the navigation bar.

Mapped
A mapped term is metadata that is either a token or an agreement detail field synced to a designated landing place in Analyze. Mapped terms can be mapped to Smart Values and LinkSquares terms, both out-of-the-box and user-generated.
Mapped terms are configured on one or more Finalize templates to be pre-populated once the agreement is signed and ingested into Analyze. Terms can only be mapped by Finalize Administrators on the template level.
This definition does not apply to historical agreements or any agreements not drafted in Finalize. These agreements will have all unmapped terms.

Navigation Bar
The navigation bar is the toolbar at the top of the LinkSquares platform. This toolbar outlines the different page views within the product.
Select the options within the navigation bar to access the different page views.
Tasks Page
Within both Analyze and Finalize, the Tasks page offers a centralized place to view tasks assigned to you and your team members across all active agreements.
Go to the Tasks page at any time by selecting Tasks from the navigation bar.
Note: The visibility of this page is dependent on user permissions.
Unmapped
An unmapped term is not pre-populated metadata from Finalize. Instead, unmapped terms are either picked up by LinkSquares AI as Smart Values or empty once the Finalize agreement lands in Analyze.
LinkSquares Analyze
Agreement Type Terms
Agreement Type Terms are terms that are only applicable to certain agreement types within LinkSquares Analyze.
Type Terms are user-generated values. They will always be created manually by Administrators and Managers.
For example, users can create a custom term only present on NDAs. From there, you can run a report on NDAs and also on that type-specific term.
Agreement Types
Within Analyze, agreements are organized by type.
The agreement type is the type of agreement uploaded to Analyze. For example, Master Service Agreement, Non-Disclosure Agreement, and Service Agreement.
If Smart Admin is enabled, AI-powered Smart Types will be applied.
Administrators and Managers have the ability to create custom agreement types to fit their business needs.

Analyze
Analyze is LinkSquares’ AI-driven contract repository that allows users to organize, manage, and report on executed agreements.
Once agreements are uploaded, Analyze creates an OCR version of the agreement, which is then scanned by LinkSquares AI to automatically extract key clauses, dates, and terms known as Smart Values.
The OCR text is a direct transcription of the document that is created out of the PDF or Word file. This allows users, regardless of the document quality or if it was scanned, to perform searches on keywords throughout their agreements.
Analyze and Finalize automatically integrate for organizations that leverage both products.
Custom Smart Values
Custom Smart Values extract key pieces of information unique to your contracts and business from each and every one of your Analyze agreements.
These values are built by our in-house data science team using your agreements to train LinkSquares AI to extract unique language.
Custom Smart Values use semantic similarity, meaning that LinkSquares AI searches for contextually similar results. For example, “30 days before termination” and “thirty days before termination” are semantically similar.

Custom Tags
Custom tags are used to group agreements by something that cannot be found within the text of the Analyze agreement, and therefore cannot be derived by LinkSquares AI.
Administrators and Managers can create customized tags and apply those to their agreements, which can then be used as filters within reporting.
Custom tags are unlimited, free of charge, and can be changed over time. They can vary in color depending on how they were configured.
Common use cases are adding an industry tag (e.g., hospitality) or department tag (e.g., sales).

Global Terms
Global Terms are points of metadata (e.g., dates, terms, and clauses) extracted from your agreements. These are terms that are applicable across all agreement types within Analyze.
Global Terms can be both AI-generated (i.e., Smart Values) and user-generated (i.e., custom Global Terms).
Governing Summary
Governing Summaries enhance visibility across a family of agreements through a central summary of current terms, enabling users to quickly make decisions based on active contract language within Analyze.

Index Text
The index text is the text that LinkSquares' Smart OCR extracts from your Analyze agreements upon ingestion. This is an easy way to read and search through the text that is present throughout your agreements.
Optical Character Recognition (OCR)
OCR technology converts scanned images into editable and searchable text.
OCR is a core component of LinkSquares. Every agreement that gets uploaded into Analyze goes through LinkSquares’ proprietary OCR process, which converts locked images and PDFs into fully searchable text.
Parent-Child Hierarchy
Agreements are organized by parent-child hierarchies within Analyze. A parent-child hierarchy consists of related agreements in a linked hierarchy.

Similarity Terms
Similarity Terms enable you to instantly search and track similar clause language across your Analyze repository.
With Similarity Terms, Administrators and Managers can define their own custom-extracted values with a single example of clause language. From there, LinkSquares AI finds and tracks similar clauses to support niche language use cases.
These values automate contract language audits and track important language upon ingestion of new agreements. Run reports using Similarity Terms to identify agreements containing or missing your unique language.
Smart Admin
Smart Admin is a LinkSquares AI-powered suite of features that helps users better organize and search through their contracts within Analyze.
Smart Admin is made up of three features:
- Smart Renaming
- Smart Tags
- Smart Types

Smart Renaming
If Smart Admin is enabled in Analyze, users can leverage Smart Renaming.
Smart Renaming enables the ability to rename agreement files with a specific, designated naming convention. This feature allows agreement names to be uniform on the application.
Administrators can verify whether Smart Admin is enabled by navigating to the app selector and selecting Settings > Analyze App. If the Renaming tab is present, Smart Admin is enabled.

Smart Tags
If Smart Admin is enabled in Analyze, LinkSquares AI will automatically apply Smart Tags to uploaded agreements. Smart Tags are added to agreements as soon as they hit the repository.
Smart Tags are lime green. They consist of the parties involved and the effective year.

Smart Types
If Smart Admin is enabled in Analyze, LinkSquares AI will automatically assign one of 26 Smart Types to uploaded agreements. If the type cannot be determined, it will be marked as "Uncategorized."

Smart Values
Smart Values are the values that LinkSquares AI automatically extracts from all Analyze agreements for easy searching and reporting.
Smart Value examples include the Effective Date, Contract Term, and Renewal Date.

Tags
Instead of using a traditional folder structure, Analyze uses tags to label contracts for better organization.
Tags are keywords or phrases that you can dynamically assign to files within your repository. They enable users to create granular agreement categories.
There are two types of tags within Analyze: Smart Tags and custom tags.
Smart Tags are applied by LinkSquares AI. Custom tags are created by Administrators and Managers.

Tasks in Analyze
Tasks are a way to set reminders to LinkSquares users to complete a task or review something for approval. Tasks can be leveraged in various ways.
For example, if you wanted a stakeholder to review a contract before the renewal date, you could create a task and select a due date for the task’s completion. The task assignee(s) will receive email notifications to complete the task.

Terms
Terms are key pieces of information within contracts that can be extracted within Analyze. Terms are reportable and can be used as data points for agreement filtering.
Within Analyze, “terms” capture all Global Terms (i.e., Smart Values, Custom Smart Values, and user-generated values), meaning that terms can be both AI- and user-generated.
User-Generated Values
User-generated values are custom values that Analyze Administrators and Managers can manually extract from their agreements.
Custom Global Terms and Type Terms are two types of user-generated values. These values describe the agreements to which the term applies.

LinkSquares Finalize
Agreement Detail Fields
Agreement detail fields are context fields for the legal team that provide insight into key parameters of the agreement (e.g., purpose, scope, important dates, and counterparty information).
Agreement detail fields are configured by LinkSquares Finalize Administrators during the template creation process in the form of a questionnaire and completed by users who select the template when drafting new agreements.
Agreement Phases
Within Finalize, agreement statuses are grouped across the five phases of the contracting process: Request, Review, Signature, Complete, and Paused.

Agreement Statuses
Within Finalize, agreement statuses provide visibility to the pre-signature workflow of the agreement.
There are nine agreement statuses:
- Request Pending
- Internal Review
- Counterparty Review
- Ready for Signature
- Out for Signature
- Partially Signed
- Fully Signed
- Done
- Paused
Agreement statuses are grouped across the five phases of the contracting process.

Dynamic Language
Within Finalize, Dynamic Language is a feature that dynamically inserts, updates, or removes language based on an agreement’s context.
To enable Dynamic Language logic, Administrators create agreement conditions within Draft templates. Based on the user’s responses when drafting new agreements from the template, the agreement is dynamically updated.
Dynamic Language reduces the need for Administrators to create and manage multiple templates with slight variations for each use case, minimizing ambiguity for users drafting new agreements.

Dynamic Questions
Within Finalize, Dynamic Questions is a feature that dynamically triggers follow-up questions based on a previous question's context.
To enable Dynamic Question logic, Administrators create agreement conditions within Draft templates and Intake workflows. Based on the user's responses when drafting new agreements from the template, additional follow-up questions may dynamically trigger.
Dynamic Questions eliminate the need for users to answer irrelevant questions when creating new agreements and enable Administrators to gather important information on the agreement up-front.

Dynamic Tasks
Within Finalize, Dynamic Tasks is a feature that dynamically assigns tasks based on an agreement’s context. Dynamic Tasks rely on conditions whereas standard tasks and approvals are overarching template- or agreement-level tasks.
With Dynamic Tasks, Administrators can configure and dynamically assign tasks based on the content of the agreement such as contract value or territory. Based on the user’s responses when drafting new agreements from the template, tasks are dynamically updated.
Dynamic Tasks can be configured during the template creation process for Draft templates, Intake workflows, and Request forms.

Finalize
Finalize is LinkSquares’ pre-signature workflow tool that allows users to draft new agreements, submit third-party agreements to legal for review and approval, and initiate requests for legal to draft agreements on their behalf.
Legal teams can leverage Finalize to track versions of agreements as they progress from draft to execution, and collaborate internally during redline and review processes.
Finalize has various eSignature integrations, including Sign, LinkSquares’ native tool.
Finalize and Analyze automatically integrate for organizations that leverage both products.
Finalize can integrate with Prioritize for organizations that leverage both products.
Related Agreements
Related Agreements provide a high-level overview of the status of affiliated agreements to get the full context of a transaction with a counterparty within Finalize.
With Related Agreements, collaborators create a relationship between many agreements by linking and unlinking agreements within the individual agreement view. This provides a clear picture of what has been completed and what is outstanding to form a relationship and helps you get to signature faster.

Tasks in Finalize
Tasks are a way to set reminders to LinkSquares users to complete a task or review something for approval.
There are three task types within Finalize:
- Approval
- To-do
- Standalone
Approval and To-do tasks are associated with a specific template or agreement, whereas Standalone tasks are not. Standalone tasks can be created from the Tasks page.
Approval tasks are approval-related tasks. To-do tasks and Standalone tasks are miscellaneous tasks related to an agreement or legal workflow.
Tasks can be leveraged in various ways. For example, if you wanted a stakeholder to review a contract before execution, you could create a task on the template or agreement level and determine a due date. The task assignee(s) will receive email notifications to complete the task.
Track the metrics related to task SLAs within the LinkSquares Dashboard.

Templates
A template is the agreement framework that Finalize Administrators can build out to expedite the creation process. Templates can be leveraged to fit your business needs.
Templates are pre-approved, customized workflows that empower self-service drafting. Once a template has been created, users can quickly generate new agreements using the template.
There are four template types within Finalize:
- Draft templates
- Intake workflows
- Request forms
- Signature-only templates
The steps to creating the agreement differ depending on the template type selected.

Draft Templates
Within Finalize, Draft templates are one of four template types. Draft templates are used to create agreements on your party’s paper.
Draft templates differ from Request forms because Request forms require users to fill out a request to have an agreement created on their behalf. Draft templates enable users to immediately create new agreements from the template.
Draft templates consist of creating agreements on your party’s paper, inputting responses that are directly incorporated into the agreement in the form of tokens, and executing these agreements via your workflows.
Select Our Paper > Template during the template creation flow to create a Draft template.

Intake Workflows
Within Finalize, Intake workflows are one of four template types. Intake workflows are used to submit agreements sent to you by a third party for legal review.
Configuring Intake workflows enables users to submit relevant information along with the document.
To create an Intake workflow, select 3rd Party Paper during the template creation flow.

Request Forms
Within Finalize, Request forms are one of four template types. Request forms are used to request that legal draft an agreement on the user’s behalf.
Request forms differ from Draft templates because users can immediately create new agreements using Draft templates.
To create a Request form, select Our Paper > Request during the template creation flow.

Signature-Only Templates
Within Finalize, Signature-only templates are one of four template types. Signature-only templates are used for finalized agreements that can be immediately sent out for signature (e.g., pricing forms).
To create a Signature-only template, select Signature-Only during the template creation flow.

Tokens
Tokens are placeholders within your agreements in which responses will be incorporated directly into the drafted agreement. Some users may compare tokens to mail merge fields.
Tokens are configured and mapped by Finalize Administrators during the Draft template creation process and completed by users who select the template when drafting new agreements.

LinkSquares Sign
Sign
Sign is LinkSquares’ native eSignature solution.
With Sign, users can access agreements from Finalize or upload external agreements and send them out for signature. Effortlessly track in-flight Signature Requests and get a birds-eye view of the agreements that require signatures and how they are progressing without leaving the LinkSquares platform.

Signature Requests
Signature Requests are the document containers that you can send to recipients to sign agreements via Sign, LinkSquares’ native eSignature tool.
LinkSquares Prioritize
Board
The Board is the main view within LinkSquares Prioritize. The Board allows legal teams to oversee the progress and success of legal tasks.
Within the Board, you will see a bird’s-eye view of all tasks within Prioritize.
Prioritize
Prioritize is LinkSquares' legal task management tool that centralizes requests, related documents, feedback, and approvals in one place. As requests come in, users can assign tasks to the right team member, flag high-priority work, and view related documents.
With one place to manage and track tasks, legal teams can better prioritize their work and spend less time managing requests and more time focusing on high-value, strategic initiatives.
Prioritize can integrate with Finalize for organizations that leverage both products.

Tasks in Prioritize
Tasks signify work to be done or undertaken by the legal team user. Tasks are centralized on the Board in a kanban style, meaning tasks are represented visually as cards.
From the Board, each team member can see their workload and prioritize, update, and complete tasks. Tasks can be leveraged in various ways.
For example, track work related to updating your terms of service, managing your LinkSquares Analyze and Finalize instances (e.g., uploading new agreements and managing templates, respectively), or reviewing marketing content.
While work varies by team, most legal teams manage a mix of requests from stakeholders alongside their own recurring and long-term projects.
