Overview
User-generated values are specific metadata values that are extracted from agreements by you and your team within LinkSquares Analyze. Creating your own custom terms will help you extract information quickly, when it is needed. It is ideal when needing to report on that data quickly.

Smart Values are the values that are surfaced using LinkSquares AI-powered technology.

User-generated values are created by you: the user. Since the use of AI is not involved, a broad range of values can be created to track your specific business needs.

Viewing Values Within an Agreement
Get visibility into an agreement's Smart Values and user-generated values within the Terms tab of the individual agreement view.

Creating User-Generated Values
Administrators and Managers can create user-generated values.
1. To begin, go to Settings from the app selector.
2. Select Analyze App.
3. Go to the Terms tab.
4. Click CREATE NEW TERM.
From here, new Global Terms and agreement Type Terms can be created.
Global Terms: Global Terms are applicable across all agreement types.
Agreement Type Terms: Agreement Type Terms appear exclusively alongside agreements of a specific type.
Custom Global Terms
Create a new Custom Term within the GLOBAL TERM tab of the dialog window.
1. Determine the term category within the Term Category drop-down. This field determines how LinkSquares maps the term between Analyze and Finalize.

2. Optionally determine a default value.
Note: Default values are not retroactive.
3. Name the term. The term name cannot be edited after creation.
4. Input a description for the term. Define workspace-level tooltips here. Tooltips provide guidance on how to use custom terms and what they mean. To learn more about tooltips, reference our article on Custom Term Tooltips.
5. Optionally determine how this term will appear as a Salesforce Analyze field name.
6. Mark the checkbox to show the value within exported reports.
7. Optionally determine a custom name for the term. This field is best leveraged if you would like for the Global Term to have an alternative naming convention within exported reports.
8. Click CREATE.
Agreement Type Terms
Create a new agreement Type Term within the AGREEMENT TYPE tab of the dialog window.
1. Determine the agreement type within the Agreement Type drop-down.
2. Determine the term category within the Term Category drop-down. This field determines how LinkSquares maps the term between Analyze and Finalize.

3. Optionally determine a default value.
Note: Default values are not retroactive.
4. Name the term. The term name cannot be edited after creation.
5. Input a description for the term. Define workspace-level tooltips here. Tooltips provide guidance on how to use custom terms and what they mean. To learn more about tooltips, reference our article on Custom Term Tooltips.
6. Optionally determine how this term will appear as a Salesforce Analyze field name.
7. Optionally determine a custom name for the term. This field is best leveraged if you would like for the agreement Type Term to have an alternative naming convention within exported reports.
8. Click CREATE.
User-generated values will populate within the designated agreements once complete.
Note: Type Terms can only be associated with one agreement type.
Term Categories
There are 10 different categories in which a user-generated Global or Type Term can be classified.
Term categories give context to and define the format (e.g., date, text, number, etc.) of user-generated values. These categories determine how LinkSquares maps the term between LinkSquares Finalize and Analyze.
Checkbox
The Checkbox term category allows users to mark or unmark a checkbox to indicate that the information for the value is present (marked) or not present (unmarked).
For example, a Checkbox term could be used to indicate whether a counterparty is based internationally or not.
Users can set the box to be marked or unmarked by default.
A Checkbox term cannot be mapped from a Finalize token or agreement detail field.
Currency
The Currency term category allows users to enter a number representing a monetary value with two decimal places. This value is not specific to one currency.
For example, a Currency term could be used to track the total contract value of a given agreement.
Users can enter a number with two decimal places to be populated by default.
A Currency term cannot be mapped from a Finalize token or agreement detail field. To map a numerical value stored in a token or agreement detail field to a user-generated value, use the Number term category.
Date
The Date term category allows users to enter a date in the MM/DD/YYYY format. Only valid dates are supported.
For example, a Date term could be used to track a date that is not already extracted by LinkSquares, such as the budget approval date for your organization.
Users can enter a valid date to be populated by default.
Date terms can be mapped from a date entered in a Finalize token or agreement detail field.
Decimal
The Decimal term category allows users to enter a number with two decimal places.
For example, a Decimal term could be used to track budget allocation or the support hours dedicated to a specific agreement.
Users can enter a number with two decimal places to be populated by default.
Decimal terms cannot be mapped from a Finalize token or agreement detail field. To map a numerical value stored in a token or agreement detail field to a user-generated value, use the Number term category.
Number
The Number term category allows users to enter a whole number.
For example, a Number term could be used to track document storage or user license allocation.
Users can enter a whole number to be populated by default.
Number terms can be mapped from a Finalize token or agreement detail field.
Percent
The Percent term category will allow users to enter a whole number to represent a percentage.
For example, a Percent term could be used to track the percentage of budget allocated to a certain service.
Users can enter a whole number to be populated by default.
Percent terms cannot be mapped from a Finalize token or agreement detail field.
List
The List term category allows users to select a single item from a list of options. These options can include alphabetical, numerical, and special characters if needed. There is no limit to the amount of options that can be configured.
For example, a List term could be used to prompt users to select which legal representative is associated with a given agreement.
Users can configure the first option on the list to be selected by default.
List terms can be mapped from a Finalize token or agreement detail field.
Multiple Value List
The Multiple Value List allows users to select one or more items from a list of options. These options can include alphabetical, numerical, and special characters if needed. There is no limit to the amount of options that can be configured.
For example, a Multiple Value List could be used to prompt users to select the products sold with the associated agreement.
Users can configure the first option on the list to be selected by default.
Multiple Value List terms can be mapped from a Finalize token or agreement detail field.
Text
The Text term category allows users to enter one line of text of up to 80 characters. This line of text can include alphabetical, numerical, and special characters if needed.
For example, a Text term could be used to track the counterparty email address or a relevant ID from another system (e.g., NetSuite or Coupa).
Users can configure relevant text to be populated by default.
Text terms can be mapped from a Finalize token or agreement detail field.
Text Area
The Text Area term category allows users to enter a paragraph of text of up to 10,000 characters. This text can include alphabetical, numerical, and special characters if needed.
For example, a Text Area term could be used to store a clause of industry-specific language that LinkSquares does not currently extract (e.g., clinical trial language or real estate language).
Users can configure the relevant text to be populated by default.
Text Area terms can be mapped from a Finalize token or agreement detail field.
Term Category Mappings
Certain Analyze user-generated values can be mapped to Finalize tokens and agreement detail fields. If a valid mapping is set up, the data entered in the Finalize token or agreement detail field will automatically populate the Analyze user-generated value.
The following table outlines the Finalize token and agreement detail field data types to which Analyze user-generated value term category can be mapped.
Note: Type Terms cannot be mapped.
