Overview
The pending agreements page allows Administrators and Managers to review new agreements before they appear for the remaining user base within LinkSquares Analyze.
Note: Agreements can take up to 72 hours to process depending on the complexities within an agreement.
The pending page provides Administrators and Managers the ability to review agreements and apply restriction tags or types before the wider audience has availability to the agreements on the main agreements page.
Process
When enabled, once logging into Analyze, Administrators and Managers will be brought to the processed agreements main page, to the left, the PENDING tab is available.
Once an agreement is uploaded to Analyze, it will automatically be sent here for approval. The number of agreements that require approval will appear next to the tab.
After ingestion, the agreement will begin processing and the Smart Terms, Smart Tags, Smart Types, and Smart Renaming will be extracted.
NOTE: Once the pending agreement is processed and Smart Renaming is enabled, the agreement will reflect the Smart Renaming Agreement naming convention when searching and not the original agreement name.
Similar to the PROCESSED tab (i.e., the standard main Agreements page view), sort agreements by name, date added, and date updated by clicking the arrow icons next to the column name. Modify the data points displayed on the page by clicking the user-specific Columns button.
From here, approve pending agreements individually or in bulk.
Approving Individual Agreements
There are three different workflows for approving individual agreements.
1. Click the ellipsis icon next to an agreement within the PENDING tab.
If the agreement is ready for approval, click Approve from the drop-down.
Alternatively, select Edit from the drop-down and edit the agreement before approval.
2. Mark the checkbox on the left-hand side of one or many agreements within the PENDING tab. Then, select the checkmark icon below the search bar.
Click APPROVE within the dialog window to confirm.
3. Click APPROVE in the upper right-hand corner of the individual agreement view.
Note: Select an agreement from the PENDING tab to view the individual agreement.
Approving Agreements in Bulk
To approve agreements in bulk, mark the checkbox next to Agreement Name within the PENDING tab. This will select all agreements on the page.
Click the checkmark icon below the search bar to approve all selected agreements.
Click APPROVE within the dialog window to confirm the bulk approval.
Note: To increase the number of agreements that display per page, select the Rows per page drop-down at the bottom of the agreements table.
The maximum number of agreements you can view per page is 100 agreements. Therefore, you can approve 100 agreements at once through the bulk approval process.
Notifications
Administrators and Managers can set notifications to remind team members to go to the PENDING tab and approve agreements.
To configure these notifications, go to Settings > Analyze App > Pending Agreements tab.
Set the reminder frequency daily, weekly, or monthly depending on your business needs.
Additionally, designate which user roles (including custom roles that have Administrator or Manager level permissions) receive these notifications.
Click SUBMIT to save the settings.
Note: If an Administrator of the account determines they only want to use the Processed page and disable the Pending page, all Pending agreements will be moved into the Processed page automatically.
