Overview
Managers and Administrators can add, delete, and edit agreement types and tags in bulk within LinkSquares Analyze. Having the ability to edit types and tags in bulk will provide seamless editing and updating to agreements in real-time.
Editing Types in Bulk
After filtering down to your desired agreements by type, mark the checkbox next to Agreement Name on the main Agreements page. This will select all agreements on the page.
Next, click the pencil icon below the search bar.
Select the new agreement type from the Agreement Type drop-down within the modal.
Click SUBMIT once complete.
Click START to begin processing the agreements with the new type.
Pause or cancel the processing at any point. After cancellation, only the agreements that have been processed will reflect the new agreement type.
Note: Processed agreements cannot be undone.
Editing Tags in Bulk
After filtering down to your desired agreements by tag, mark the checkbox next to Agreement Name on the main Agreements page. This will select all agreements on the page.
Next, click the pencil icon below the search bar.
Tags currently added to the outlined agreements will populate below the search bar and display how many selected agreements contain the tag.
To remove existing tags in bulk, click the X icon. This will delete the tag for all selected agreements.
To add, an additional existing tag to the agreements, input the tag name in the search bar.
To add a brand-new tag to the agreements, input the new tag in the search bar and click Create.
Click SUBMIT once complete.
Click START to begin processing the agreements with the new type.
Pause or cancel the processing at any point. After cancellation, only the agreements that have been processed will reflect the modified agreement tags.
Note: Processed agreements cannot be undone.
Adding Tags in Bulk
After running a saved report or applying at least one filter (including leveraging the search bar), bulk-tag the filtered list of agreements with a singular tag.
Click the tag icon next to the Columns button.
From here, select the desired tag from the drop-down.
Note: Users can only select tags they are authorized to view.
Alternatively, input a new tag entirely and click Create.
Click ADD TAG once complete.
The new tag will be added to the outlined agreements.
Editing tags in Bulk
1. To begin, go to Settings from the app selector.
2. Select Analyze App.
3. Go to the Tags tab.
4. Click the ellipsis icon next to the relevant tag. Select Edit.
An Edit Tag modal will appear.
5. Edit the name and color of the tag.
The available tag colors are as follows:
- Aqua
- Blue
- Brown
- Dark blue
- Dark gray
- Evergreen
- Green
- Light gray
- Medium gray
- Orange
- Pink
- Purple
- Red
- Sky blue
- Slate
- Yellow
Note: The tag name cannot be changed to that of an existing tag.
6. Click UPDATE once complete.
To delete a tag from the system entirely — meaning that all agreements will have this tag removed — click Delete from the ellipsis icon.
Editing tags from a Full Text Search
Full-text searches are possible via the OCR (Optical Character Recognition) text that is generated from your agreements.
Start at the main Agreements page. To quickly initiate a full-text search, select Content from the Agreement Name drop-down at the top of the page.
Note: Content searches are non-exact searches.
Enter keywords, phrases, or entire clauses from your agreements into the search bar. The page will automatically populate with the results based on your search criteria.
Click the + Advanced Filters button and select the Agreement Content data point from the drop-down to further refine your results.
The search will automatically default to Exact Match being No, meaning that the search will be performed using fuzzy logic. This will pull agreements that have similar language to the search term (e.g., renews, renewal, renewed).
When the Exact Match is Yes, this will search for the term exactly how it is typed. It is case-sensitive and has the potential to exclude relevant documents right off the bat.
The best practice is to start with Exact Match being No, review the results, and then, if necessary, toggle to Yes.
Enter the desired text into the search bar. For example, “automatic renewal.”
Once the agreements have been filtered by content, click the tag icon next to the Columns button.
A modal will appear. From here, select the desired tag from the drop-down.
Note: Users can only select tags that they are authorized to view.
Alternatively, enter a brand-new tag entirely and click Create.
Click ADD TAG once complete.
The new tag will be added to the outlined agreements.
Note: It may take several minutes to successfully apply the tags depending on the number of affected agreements.
To save the parameters of the report, click SAVE next to the + Advanced Filters button. To export the report, click the export icon next to the Columns button.
