Overview
Running reports has never been easier with LinkSquares Analyze.
Effortlessly run searches across your agreements and surface information that could have previously taken anywhere between a few hours to a few days to complete. Reporting provides efficient gains and quick reference data, when it used to take forever to gather your information.
More content around Reporting in Analyze can be found on our Academy page here.
Process
Analyze enables you to report across every single agreement in several ways.
All Analyze users can run, save, and export reports.
Reporting can be initiated by leveraging the drop-downs at the top of the main Agreements page. There are four data points within these drop-downs: Agreement Name, Content, Agreement Type, and Tags.
Note: The Content data point can be found within the Agreement Name drop-down.
The page will automatically populate with the results based on your search criteria.
Reporting can also be initiated by adding advanced filters to the page. Select the + Advanced Filters button to add a new filter and begin tailoring your agreement view.
Select a data point from the drop-down menu and text boxes to refine the parameters for the report. There is no limit to the number of filters you can use to search in Analyze.
Each advanced filter added will also have these additional options:
- The X icon to remove the individual filter
- The clone icon to duplicate the individual filter
- The + icon to add additional filtering
-
The CLEAR button will remove all filters from the reporting criteria
Only agreements matching ALL filter criteria will be displayed.
Once complete, reports can be exported to Excel, or saved for future business needs.
Columns
By default, the report will list the columns Agreement Name, Type, Tags.
Add additional columns based on Global Terms and other values:
1.Choose Columns, on the right side of the screen
2. Select/deselect the terms for the report criteria.
Use the grip lines icon to drag and drop the term order for the column
3. Submit to save the terms and generate the additional columns for your view and report.
Exit the popup without saving, choose cancel.
Exporting Reports
Once satisfied with the search results, export the agreements as an XLSX file by clicking the export all agreements icon to the left of the Columns button. The export will include all columns present on the main Agreements page.
After clicking the export icon, select DOWNLOAD EXPORT to download the XLSX file locally without leaving the platform. Select EMAIL EXPORT to download the XLSX file via email.
Export all visible agreements within your Analyze instance by clicking the export icon without filtering or selecting individual agreements.
Exported files will include links to the agreements. If recipients have the necessary access and permissions within Analyze, these links will bring them to the individual agreement view.
Note:
Large exports take several minutes to generate and are available only via email export
Saving Reports
After building an elaborate and valuable report, you may want to run it again weekly, quarterly, or annually. You have the ability to save your report to run at a later time.
Note:
- The Analyze repository is dynamic, and saving the report only saves the parameters of the report, not the results themselves.
- Note: Saved Reports created before August 26, 2024, do not include any column configuration. Reports saved after August 26, 2024, include the column/terms configuration as well as filters applied.
To save the parameters of a report, click SAVE to the right of the + Advanced Filters button.
You will be prompted to name the report.
Optionally mark the Company Report checkbox to make this saved report available to your entire organization. If this checkbox is left unmarked, the report will only be available to you.
- SAVE once complete.
Access saved reports within the Saved Reports tab of the navigation bar.
Note:
- Any user can create a company report. However, the reports available to them via the Saved Reports tab will be filtered by their permissions.
- If the user who creates a saved scheduled report is disabled, the report will no longer generate. A separate user will need to recreate the report.
To learn more about saved reports, refer to our article on Company Reports.
Basic Searching and Filtering
Search and filter through your executed agreements on the main Agreements page.
Agreement Name
Use the search bar next to the Agreement Name drop-down to generate results based on any variation of the agreement name.
Alternatively, click the + Advanced Filters button and select the Agreement Name data point from the drop-down to search, select an individual agreement.
This helps see how the terms of individual agreement is arranged within the agreements table.
Users can filter agreements by leveraging the search bar and data points within the filtering functionality in conjunction with one another.
Note:
There is no maximum character limit for agreement name searches.
Agreement Content
The agreement content data point allows you to search through agreements for specific language: keywords, phrases, or entire clauses. This is possible via the OCR (Optical Character Recognition) text that is generated from your agreements.
Select Content (Inexact) from the Agreement Name drop-down to filter your agreements by inexact content. Inexact content searches mean that whole words can be searched in any order.
Note:
There is no maximum character limit for inexact agreement content searches.
Alternatively, click the + Advanced Filters button and select the Agreement Content data point from the drop-down to further refine your results. From here, initiate Inexact, Exact, or Partial Content searches.
Note:
- There is no maximum character limit for Inexact and Exact agreement content searches.
- The maximum character limit for partial agreement content searches is 30 characters.
Inexact Search
The search will automatically default to inexact content searches, meaning the search will be performed using fuzzy logic. This will pull agreements that have similar language to the search term.
For example, searching for "renew" would pull terms like "renews," "renewal," and "renewed."
When the Exact option is selected from the drop-down, this will search for the term exactly how it is typed. It is case-sensitive and has the potential to exclude relevant documents right off the bat.
For example, searching for "renew" would only pull "renew" within your agreements.
The best practice is to start with inexact searches, review the results, and then, if necessary, toggle to exact searches.
Partial Search
Inexact searches and exact searches are dependent on searches consisting of entire words. Consequently, you may miss results with this incomplete information.
Leverage the Partial option from the drop-down to initiate partial content searches. Partial content searches enable users to find what they need without having the complete search context (i.e., the entire keyword, phrase, or clause).
For example, searching for "ren" would pull terms like "renews," "renewal," and "renewed."
Note:
- Users can only apply one partial content search filter at a time.
- The maximum character limit for partial agreement content searches is 30 characters.
Proximity Search
Proximity searches allow users to search for a term in an agreement within a certain range of words of another term (anchor term) within the same agreement.
This is a great option to search for language that you know exists but may not know exactly how it is written.
- Start at the Main Agreement page
- Choose the + Advanced Filters
- Select the Proximity data point from the drop-down
- Enter the term and determine the parameters alongside the anchor term. Set the Search term, how many words it should appear Within, and the Anchor term.
The page will automatically populate with the results based on your search criteria.
Once complete, reports can be exported to Excel or saved for future business needs.
Agreement Type
Filter agreements by type by leveraging the Agreement Type drop-down.
The list of available types will only include the types for agreements that match the other filters. It will hide types that would return 0 search results.
Alternatively, click the + Advanced Filters button and select the Agreement Type data point from the drop-down to further refine your results.
Enter part of the type name to filter the results in the drop-down.
From the second drop-down, determine whether the desired agreement type Is or Is not present.
View all agreement types except the ones that are selected by using the Is Not function.
Add additional filters or agreement type filters by clicking the + icon.
Filtering by multiple types with 'Is' will automatically use the OR function, pulling up any agreement that has type one, type two, or type three, etc.
Because this filter uses "Is", it will display all agreements with either the type "Master Agreement" or "Mutual Non Disclosure Agreement".
If the filter uses "Is Not", it will display all agreements that have none of the types listed.
When selecting agreement types, toggle on "Exclude options with no agreements" to hide types that do not have any agreements that also match the other filters.
Tags
Filter agreements by tags by leveraging the Tags drop-down.
The list of available tags will include the tags of agreements that match the other filters. It will hide types that would return 0 search results.
Alternatively, click the + Advanced Filters button and select the Tags data point from the drop-down to further refine your results.
- Enter part of the tag name to filter the results in the drop-down.
From the second drop-down, determine whether the desired agreement tag Is or Is Not present by selecting Is or Is Not
Use the "AND"/"OR" dropdown to further refine the filter.
Use the filter combinations below to narrow your search:
- Is and OR: View agreements with any tags selected
- Is and AND: View agreements with all of the tags selected
- Is Not and OR: View agreements with none of these tags selected
- Is Not and AND: View agreements missing any of the tags selected (so it will display agreements that do not have all of the selected tags).
This filter uses the Is and OR filters, so it will display all agreements with either the tags "Amendment" or "Customer", as well as agreements with both tags.
Agreement Added
Filter by when the agreement was added to LinkSquares Analyze. You can filter by:
- Contains: Agreement was added on the exact specified date.
- Does not contain: Agreement was added on a date other than the specified date.
- Before: Agreement was added before the specified date (but not on that date).
- After: Agreement was added after the specified date (but not on that date).
- Between: Agreement was added between the two specified dates (including those dates).
- Last 30 days
- Last 90 days
- Last 365 days
Additional advanced filters
You can also filter by:
- Tag Color: This has the same filtering settings as Tags.
- Global Term (including Smart Terms): Further discussed in our article Terms Reporting.
- Agreement Type Term
- Similarity Term
Advanced Agreement Content Reporting
When leveraging the Agreement Content data point from the drop-down within the advanced filtering flow, add additional search terms using AND/OR operators.
- To add an OR operator, click the OR button to the right of the filter. This will add an additional search term field.
- To add an AND operator, add an additional filter using the + button to the right of the filter and select Agreement Content.
These two operators can be combined. For example, the filter can search for agreements that have either commission or compensation, and also agreements that have either 'data breach' or 'commission' in an inexact search.
Reviewing Agreement Content Results
When reviewing the results of a text-based search:
- View the number of agreements populated within the results
- Choose the button to the left of the agreement name to view and reference the agreement in the same window
- Quickly navigate around the results within the agreement using the up and down arrows.
