Overview
Effortlessly create a comment or task associated with agreement text within the LinkSquares Finalize add-in for Microsoft Word.
Note: Tasks and comments created using this functionality are not available to view by the counterparty.
Process
After opening an agreement within the Word add-in, highlight the text within the document that you want to reference to create a comment or task.
Note: There is a limit of 1500 characters when highlighting text for new tasks or comments.
A panel of icons will appear at the bottom of the Word add-in.
Note:
- The leftmost task icon creates a task related to the highlighted text.
- The chat icon creates a comment related to the highlighted text.
- The rightmost bookmark icon creates a new clause based on the highlighted text. Only Administrators have the ability to create a new clause from within the Word add-in. - The X icon closes the panel of icons.
Creating a Task With Highlighted Text
Select the leftmost task icon to create a task related to the highlighted text.
The Add New Task panel will appear with the highlighted text outlined.
Fill out the Task Title and Assigned to fields.
Note: A task can be assigned to more than one user. Any user who is assigned to the task can complete or approve it.
Optionally, give the task a due date.
Click Link to text to anchor the task to the related text. With this feature, the assignee(s) will be brought directly to the related text within the document when they click on the task from the Tasks tab.
Note: A new agreement version must be saved in order for tasks to be anchored to their related text. If a new agreement version is not saved, these tasks will still exist, but users cannot jump to the related text by clicking them.
Then, click SAVE.
Alternatively, click Cancel to discard the task.
Upon saving, the task will be added to the Tasks tab of the associated agreement.
Tasks that are linked to text are marked with a link icon.
To jump directly to the linked text within the document, click the link icon.
Creating a Comment With Highlighted Text
Select the chat icon to create a comment related to the highlighted text.
The Add Comment panel will appear with the highlighted text outlined.
Optionally, click into the Comment text box to add more information or tag another user using the @ symbol.
Click Link to text to anchor the comment to the related text. With this feature, the assignee will be brought directly to the related text within the document when they click on the comment in the Activity feed.
Note: A new agreement version must be saved in order for comments to be anchored to their related text. If a new agreement version is not saved, these comments will still exist, but users cannot jump to the related text by clicking them.
Then, click ADD COMMENT.
Alternatively, click Cancel to discard the comment.
The comment will be added to the Activity tab of the associated agreement.
