Overview
LinkSquares Sign is designed to work seamlessly with Finalize to send and track your agreement’s signature requests. With Sign, send out agreements in a Ready for Signature status directly to recipients.

Getting Started
Before sending an agreement for signature in Finalize, review your user role permissions.
Needed: A Finalize Role with the appropriate signature permissions to send agreements out for signature.

- Log into LinkSquares. As a new user, you should have received a welcome email or instructions from your company's LinkSquares Administrator on how to log in.

There are two default pages LinkSquares will open with:
- Analyze Main Agreement page
- Finalize Main Agreement page
- If your default page is not Finalize, click into the waffle and choose Finalize
- This will bring you to the Finalize Agreements page
Requirements for Sending a Finalize Agreement out for Signature using Sign
Before having the option to send a Finalize agreement out for signature, the following requirements must be met:
- Proper agreement access and signature permissions are required to send an agreement out for signature using Sign. This can vary between templates as well as Account Signature settings.
- No outstanding tasks or approvals for the Finalize agreement.
- The most recent version of the agreement is not deleted.
- The agreement is in the “Ready for Signature” status
Once an agreement is ready to be sent with Sign, there will be a visible prompt to send the agreement out for signature on the Finalize agreement’s page:

On the Finalize Agreement page, click Create Signature Request
- In the Recipients section, click the + to choose your recipient(s).
If there are several recipients, a signing order can be enabled by toggling the Ordered option. This allows the user to drag and drop recipients in any order.
Each recipient will have to wait for the previous recipient to sign before they can sign the agreement.
- From the Add Recipient popup, choose an existing recipient or create a new one by typing the Name, Email, and Title.
The title of the recipient is not required.
If the recipient is required to sign, enable the “Needs to Sign” feature.
At least one recipient must be enabled with 'Needs to Sign'.
Choose Save once you have selected a recipient. Repeat this process for all recipients.
Note: Once a Signature Request is sent, any contacts created or updated during creation will be saved.
- Edit or Remove a recipient:
Click on the kebab icon
- Include a message with your signature request:
Enable the Message section and add a customized message that all recipients will receive via email.
Messages have a 500-character limit and do not support rich text formatting. - Once you've added the recipients and message, click Save and Continue in the top right corner of the screen
- The side panel will update to show fields available for each recipient. Current fields available through Sign signature requests are:
- Signature
- Initials
- Name
- Title
- Date
- Text field
Select the recipient from the dropdown menu and drag each field that should be completed Each recipient will be assigned a unique color to represent their respective fields.
- Once you have applied all fields for each recipient, click “Send Request” in the top right-hand corner of the screen.
- Your agreement has been sent out for delivery and a Finalize agreement will now reflect the status: Out for Signature.
All recipients will receive an email with the request.
If an ordered list is selected, recipients will receive an email when it is their turn to sign.
Note: The count of available Signature Requests will not decrease until the agreement has been officially sent out.
Managing your Sign Signature Request
After the agreement has been sent Out for Signature- Tracking progress, resending a request, and managing the agreement’s status in Finalize to void a request can be viewed all in one place.
Viewing the Sign Signature Request Progress
View the signature request’s status and details by clicking on the Details hyperlink from within the agreement in Finalize.
A detailed view of the signature request pops up showing all recipients’ progress and more, including:
- Who requested signatures for the agreement
- How long it has been since the signature request was created
- Who has viewed the signature request
- Who has signed the signature request
- Note: Signature Requests are valid for 30 days.
The Details view also allows signature requests to be reassigned to a different recipient if a recipient has not yet signed.
How to Void a Sign Signature Request through Finalize
Voiding a signature request that has already been started requires specific access to the agreement. Eligible user roles include Reviewer or Approver, provided they are the Agreement Owner.
The Reviewer or Approver can move the agreement out of the Out for Signature status, and back to a previous status for revisions.
Alternatively, Administrators can change the status of any agreement at any time.
Changing the status of the Finalize agreement will automatically void the current signature request.
Another Signature Request is required, if an agreement’s signature request is voided.
Note:
- Signature Requests are valid for 30 days. After 30 days, any email links associated with the Signature Request are voided.
- Deleting an agreement will automatically delete the Signature Request.
