Overview
Once an individual or bulk Signature Request has been sent via LinkSquares Sign, users have visibility into and can act upon the pending Signature Request in several ways, as explained below.
Pending Signature Requests sent via LinkSquares Sign will automatically expire after 30 calendar days.
Process
Users will return to the individual agreement view once an individual Signature Request has been sent out.
From the individual agreement view for an individual Signature Request, users can:
- View Signature Request details
- Send Signature Request reminders
- Reassign Signature Request recipients
- Revert pending Signature Requests
- Revert partially signed Signature Requests
- View and delete Signature Request drafts
Users will return to the Signature Requests page once a bulk Signature Request has been sent out. Each Signature Request within the bulk request will populate as a separate line item.
To access the individual agreement view for a Signature Request within a bulk, click on the Linked Agreement column for the relevant Signature Request.
From the individual agreement view for a Signature Request that was included in a bulk, users can:
- View Signature Request details
- Send Signature Request reminders
- Reassign Signature Request recipients
- Revert pending Signature Requests
- Revert partially signed Signature Requests
Every agreement associated with a Signature Request will have a status of Out for Signature on the individual agreement view.
Viewing Signature Request Details
The Details button on the individual agreement view will open the Signature Progress modal.
Users can view high-level signature tracking statistics such as how many recipients have signed and/or initialed the agreement from this modal.
To learn more about the information displayed on the Signature Progress modal, reference our article on LinkSquares Sign: Signature Request Tracking.
The Activity tab will update to reflect that a Signature Request was created and sent out to the designated recipients. This activity will be dependent on the configuration of the recipient flow.
A new version of the agreement will be added to the All versions section for reference.
To learn more about this page, reference our article on Finalize Individual Agreement View.
Resending Signature Requests
Users have the option to resend the Signature Request from the individual agreement view by clicking the Send again button. This activity will be reflected on the Activity tab.
If the recipients were configured in an unordered workflow, all recipients will receive an email reminder.
If the recipients were configured in an ordered workflow, only the recipient that is next in line to sign and/or initial the agreement will receive an email reminder.
Editing Signature Requests
There are three ways in which users can edit pending Signature Requests.
- Reassigning Signature Request Recipients
- Reconfiguring Pending Signature Requests
- Reconfiguring Partially Signed Signature Requests
Reassigning Signature Request Recipients
Users can reassign Signature Request recipients from the Signature Progress modal, which can be accessed by clicking the Details button on the individual agreement view or on the Signature Requests page within Sign.
Recipients can only be reassigned on agreements within the Ready for Signature, Out for Signature, or Partially Signed agreement statuses. If the agreement is partially signed, only the recipients who have not signed and/or initialed the Signature Request can be reassigned.
Recipients who were initially designated as not required to sign and/or initial the Signature Request cannot be reassigned as a signatory. In this case, the Signature Request should be reconfigured with the recipient as a signatory. To learn more about reconfiguring Signature Requests, reference the Reconfiguring Pending Signature Requests and Reconfiguring Partially Signed Signature Requests sections of this article.
1. On the Signature Progress modal, click the Reassign button under the relevant recipient.
2. Enter the relevant information for the new recipient.
Note: If the new recipient is a Finalize user or you have previously sent them a Signature Request, select their contact information from the Name drop-down.
3. Click SAVE once complete.
The new recipient will receive an email requesting their action on a Signature Request.
The email and link that were sent to the original recipient will be voided. The original recipient will receive a copy of the fully executed agreement.
Reconfiguring Pending Signature Requests
Signature Requests for agreements in the Out for Signature status can be reconfigured by changing their agreement status. This allows users to void Signature Requests, make any necessary edits, and reconfigure them.
Within the individual agreement view, select Ready for Signature from the status drop-down.
Note: If you are reverting a Signature Request that was initiated via My Sign Hub or a Signature-only template, the Internal Review and Counterparty Review statuses are deactivated. Only agreements that were drafted from Draft templates or Intake workflows can be reverted to these statuses.
By selecting the Ready for Signature status, the existing Signature Request will be deleted. Access to the original Signature Request via email will expire.
The Activity tab will be updated to reflect this change.
At this point, the Signature Request can be reconfigured as usual.
To learn more about configuring an individual Signature Request, reference our article on LinkSquares Sign: Individual Signature Requests.
Note: The count of available Signature Requests will decrease for each Signature Request that is sent. In this case, the count of available Signature Requests will decrease by two.
Reconfiguring Partially Signed Signature Requests
Signature Requests that have been partially signed can be reconfigured by uploading a new version of the agreement.
1. Click the ellipsis icon on the agreement version that should be used to configure the Signature Request under the All versions section of the individual agreement view.
2. Download the file as a PDF or Word document.
3. Click + NEW VERSION at the top of the page.
4. Browse your files or drag and drop the agreement version that you just downloaded.
5. Select the Ready for Signature agreement status.
Note: Upon uploading a new agreement version, the Signature Request for the version that is currently out for signature will be voided.
6. Click SAVE.
The individual agreement view will be populated with the new agreement version in the Ready for Signature status.
At this point, the Signature Request can be reconfigured as usual.
