Overview
As an agreement is being managed, there are multiple types of stakeholder that may interact with the document, activity log, tasks and other associated components. Assigning users specific responsibilities at the agreement level, keeps everyone in communication and sets expectations. These stakeholders and what they are able to do/not do on an agreement are listed below:
- Agreement Owners
- Agreement Authors
- Agreement Collaborators
- Task Assignees
Agreement Owners
The purpose of agreement ownership is to assign the point person for the entire lifecycle of an agreement, from draft through signature. This can be assigned on the template level or the individual agreement level.
Assigning an agreement owner is optional. However, it is best practice to leverage this feature. Designating agreement ownership will never hurt the lifecycle of the agreement as there will be someone (or multiple people) responsible for ushering the agreement end-to-end.
Agreement owners are either generated at the time of agreement creation or inherited by being claimed or assigned after creation. Agreement owners become agreement collaborators.
Agreement owners can approve tasks, change the approval workflow, edit the agreement name, and add additional collaborators.
Only Reviewers, Approvers, and Administrators are eligible for agreement ownership.
Agreement Authors
Authors indicate who created the agreement. Authors are automatically added as agreement collaborators. The author cannot be modified or removed.
The author data point is valuable within LinkSquares Custom Dashboards. It can be used to create more complex dashboard tiles.
All Finalize users (except IT Administrators) can be authors of an agreement.
Collaborator
Agreement collaborators have complete visibility into the agreement.
Collaborators can add additional collaborators. Collaborators can only remove themselves as a collaborator if added after agreement creation.
Leveraging the collaborator feature is a helpful tool for legal operations managers to facilitate workflows and Request forms. Collaborators have the added flexibility of being agreement reviewers.
The collaborator data point is valuable within LinkSquares Custom Dashboards. It can be used to create more complex dashboard tiles.
All Finalize users (except IT Administrators) can be agreement collaborators.
Task Assignee
Task assignees are the users assigned to tasks (i.e., Approval, To-do, or Standalone) within Finalize.
Task assignees are determined via three workflows:
- Administrator settings on the template level
- Ad hoc on the individual agreement level
- Ad hoc within the Tasks page
Tasks and task assignees can be found within the Tasks tab of the individual agreement view, or the Tasks page from the navigation bar.
The task assignee data point is a great way for the managers of legal operations to create KPI visibility holistically throughout the entire company and hold people accountable.
All Finalize users (except IT Administrators) can be task assignees.
