Overview
LinkSquares Analyze integrates with several existing systems to automatically ingest contracts and increase your team's efficiency. Analyze currently integrates with Box, Dropbox, Google Drive, SharePoint, Egnyte, and more.
Note: The Box integration supports pulling in agreements via inbound syncs.
Process
Step 1: Getting Started
If you have discussed syncs during your onboarding process, you will receive an email from team@linksquares.com requesting access to sync. If you would like to enable the sync, contact your Customer Success Manager.
Click on the CLICK TO AUTHORIZE ACCESS button.
This will open a new tab on your browser.
Step 2: Service Selection
Within the new tab, click the Select Folder button.
You will be prompted to select the service that you wish to sync with.
Click Authorize to select Box from the list of services.
Step 3: Authorization
You will be asked to authorize your Box account.
Click the Requested permissions drop-down to select the authorization type.
LinkSquares recommends providing the following list of permissions. If you are unable to provide these permissions, the Admin can make calls on behalf of users option must be chosen at a minimum.
- Admins can make calls on behalf of users: This gives LinkSquares the ability to read all files and folders stored in Box.
- Read All Files and Folders: This gives LinkSquares the ability to read all the files/folders for the authenticated user.
- Read and Write All Files and Folders: This gives LinkSquares the ability to write access for the authenticated user. This allows the application to upload files or new file versions, download content, create new folders, update or delete collaborations, create comments or tasks, and more.
- Manage App Users: This permits LinkSquares to manage app users. App users are only accessible via an API and do not have login credentials.
- Manage Managed Users: This permits LinkSquares to manage Managed Users. It allows the app to change the user's primary login, reset their password, and change roles for managed users. To learn more about managed users, reference this web page on User Types.
- Manage Groups: This permits LinkSquares to manage an enterprise's groups. It allows the app to create, update, and delete groups, as well as manage group membership.
- Manage Webhooks: This permits LinkSquares to create webhooks for a user. Please review the limitations of webhooks. Most notably, there is a limit of 1000 webhooks per application, per user. To learn more about webhook limitations, reference this web page on Limitations.
- Manage Enterprise Properties: This gives LinkSquares permission to view the enterprise event stream and view and edit the enterprise's attributes and reports. It also allows the application to edit and delete device pins.
- Manage Retention Properties: This gives LinkSquares permission to view and create retention policies with Box Governance. This requires the enterprise to have purchased Box Governance. To learn more about Box Governance when logged into your account, reference this web page on Box Governance.
- Global Content Manager: This allows Admins and Service Accounts to retrieve any content within their enterprise without having explicit ownership or collaboration permission. Once you have selected your requested permissions, click Connect.
The sync will ask your permission to grant access. Click the Grant access to Box button.
Step 4: Selecting a Folder
The final step to configuring the Box integration is selecting the folder you wish to sync from.
If you would like to select a nested folder, click on the home folder and choose to See Contents.
Folder Authorization Requirements
Users can authorize anything in Home Folder.
After clicking on the folder you want, click Sync with the Folder.
You will see an Authorization Pending page. After a few moments, refresh your browser.
Your sync is complete when you see an Authorization Successful page.
Note: The web application must be used for Google Drive, Box, and Dropbox. Desktop applications cannot be used for these services.
Step 5: Upload
When the Box integration is fully configured, LinkSquares will begin transferring files from Box to your LinkSquares account. This can be set to continuous ingestion of files.
Note: If the person who established the sync leaves the organization, the sync between your existing repository and LinkSquares will be broken. Contact support@linksquares.com to re-establish the sync.
