Overview
Streamline the ingestion of agreements into your Analyze repository by applying tags to agreements during the drafting and approval process.
Process
With Pre-Signature Tagging, users are able to apply tags currently existing in their Analyze repository to agreements as they are being drafted, approved, and signed in Finalize.
Pre-Signature Tagging reduces the need to manually process and add key tags to agreements post-ingestion in Analyze, where valuable context and information as to which tags to apply to a particular agreement may not be available.
Limitations
Pre-Signature Tagging does not currently support the following actions:
- Creating a new tag in the Analyze repository via Finalize.
- Managing the master data (name, color, deletion) of tags in Finalize.
Adding and Removing Tags to/from an Agreement in Finalize
Accessing Tag Information in Finalize
To add or remove tags to an agreement in Finalize, you must first navigate to and open the main agreement details page and click on the INFO tab.
Once on the main agreement details page you must open the Info Tab on the right hand side of the screen, where the ability to view tags will be displayed.
Adding Tag(s) to a Finalize Agreement
To search for tag(s) to add to this agreement, users can simply begin typing out the name of the tag(s) and the system will automatically search for matching tag(s) that exist in Analyze. Tags must be present within Analyze for them to be able to be selected. Any net new tags that you wish to add to a Finalize agreement must first be created within Analyze.
As users continue to type, the list of available tag(s) to pick from will narrow based on the entered text.
You then need to click which tag(s) you wish to add to the agreement from the search results to tentatively associate them to the Finalize agreement. Users can add one or many tags in the same action.
Clicking “Save” will save the selected tag(s) to the agreement and return the Info Tab to read-only mode.
An activity log entry will be added to the agreement noting which user took the action and which tag(s) were added to the agreement.
Removing Tag(s) from a Finalize Agreement
To remove tag(s) from an agreement users will need to navigate to the same section of the Info Tab they use to add tags to an agreement.
You will need to hover over this section of the Info Tab and select to enable “Edit Mode” by clicking on the edit button.
You can tentatively remove a from an agreement in Finalize by simply clicking the “x” portion of the tag.
Clicking “Save” will remove these tag(s) to the agreement and return the Info Tab to read-only mode.
An activity log entry will be added to the agreement noting which user took the action and which tag(s) were removed to the agreement.
Syncing Tags on Agreements from Finalize to Analyze
All tags added to an agreement in Finalize will automatically sync to Analyze alongside other agreement metadata.
Syncing Tag Master Data from Analyze to Finalize
If a user takes the following actions to a tag from the master tag repository in Analyze, these changes will automatically reflect on all associated agreements in Finalize.
- Update a tag name
- Note: To limit the volume of activity log entries across the CLM platform, when a tag name is updated in the Analyze repository there will be no activity log entry noting that the tag name has been updated on the original Finalize agreement log.
- Update a tag colour
- Note: To limit the volume of activity log entries across the CLM platform, when a tag colour is updated in the Analyze repository there will be no activity log entry noting that the tag colour has been updated on the original Finalize agreement log.
- Delete a tag
- Note: To limit the volume of activity log entries across the CLM platform, when a tag is deleted in the Analyze repository there will be no activity log entry noting that the tag has been deleted from the original Finalize agreement log.
This is done to ensure the consistency of information between Analyze and Finalize.
Additional Information
You will be able to make modifications to tags while the agreement is in the following statuses:
- Internal Review
- Counterparty Review
- Ready for Signature
- Out for Signature
- Partially Signed
You will not be able to make modifications to tags while the agreement is in the following statuses:
- Fully Signed
- Done
Users can add and remove tags in the same step - changes to which tags are on an agreement are only committed once the users clicks the “Save” button.
A separate activity log entry will be added to the agreement noting which user took the action and which tag(s) were added to or removed from the agreement.
Tagging Permissions
Administrators need to configure tagging permissions in order to allow users from their company to apply tags to an agreement. By default, only Administrators are able to apply tags to an agreement.
Within the Finalize Settings page Administrators need to check the corresponding role(s). If a role option is checked, any user will be able to apply a tag to an agreement.
