Overview
Signature Request recipients will follow an intuitive process to sign and/or initial agreements using LinkSquares Sign. Utilizing an easy flow to get your agreements fully signed, will provide ease in knowing the agreement is complete.
For additional content around LS Sign, head over to our Academy page here.
Process
Once an individual or bulk Signature Request has been sent out, the recipients designated as having to sign and/or initial the agreement will receive an email notifying them of the action needed on the Signature Request.
Note: Recipients who are not required to sign and/or initial will only receive an email when the fully executed agreement becomes available.
If a message was added to the Signature Request, it will be included in this email.
Click the REVIEW DOCUMENT button to open the Signature Request.
Once the Signature Request is opened, users can select BEGIN SIGNING to begin adding their signature and/or initials.
Alternatively, users can select REASSIGN TO SOMEONE ELSE to designate their signing authority to someone else.
Recipients who reassign their signing authority will be prompted to enter the new recipient’s information.
Click SAVE once complete.
The new recipient will receive an email notifying them that the previous recipient has reassigned their responsibility to sign and/or initial the agreement.
Recipient reassignments will be recorded in the Activity tab of the individual agreement view.
From here, recipients will complete any fields assigned to them.
To learn more about completing fields on Signature Requests, reference the Signing Agreements section of this article.
Accessing Signature Requests from LinkSquares
In addition to being able to access a Signature Request from the email described above, Finalize and Sign users can access Signature Requests directly within the LinkSquares web app.
Finalize users designated as Signature Request recipients can select the Start signing button on the individual agreement view to access the Signature Request.
This button is only available when it is their turn to sign and/or initial the agreement.
Sign users designated as Signature Request recipients will select the Sign button on the Signature Requests page to access the Signature Request.
This button is only available when it is their turn to sign and/or initial the agreement.
Signing Agreements
Once recipients have begun signing, they will select a signature and/or initial field on the document to open the Signatures modal.
From here, users can select from existing signatures and/or initials. Alternatively, click Create New Signature to design a new signature and/or initials by drawing, uploading an image, or typing.
To clear a drawn or typed signature and/or initials, click Clear Signature.
To replace the image file used for a signature, click Replace Image.
Users can apply their signature and/or initials to every relevant field within the document by marking the Apply to All checkbox.
Click Apply once signature and/or initial configuration is complete.
If the signature and/or initials were applied to all relevant fields, a banner will appear in the upper right-hand corner to notify the recipient of the number of places to which the signature and/or initials were applied.
Once all relevant fields are completed, recipients will click Finish Signing in the upper right-hand corner.
As signatures and/or initials are added, the Activity tab will be updated.
Note: Initially, if the Activity tab only shows that one recipient was sent the agreement for signature despite several recipients being added, the Activity tab will update after each recipient has signed and/or initialed.
Post-Signature
Once all signatures and/or initials have been collected, the following activity will occur within the individual agreement view.
- The agreement will be reflected to show that it is in a Fully Signed status.
- A new version of the agreement will be added to the All versions section.
-
The Activity tab will update and reflect that:
- Recipients have viewed the Signature Request
- Recipients have agreed to accept the Signature Request
- Recipients have signed and/or initialed the agreement
- The agreement has been fully executed
- Non-signatory recipients have been sent the executed agreement
- The agreement has been ingested into LinkSquares Analyze, if applicable
- The executed agreement will be added under the ATTACHMENTS section on the Finalize individual agreement view as an attachment to download or preview.
Signature History PDF
All Signature Request recipients (including reassigned recipients) will be sent a copy of the executed agreement via email. This email will include the Signature History PDF.
This PDF contains a copy of the agreement’s activity log, including only those events relevant to the signature process (e.g., when the agreement was sent out for signature, when the agreement was signed and/or initialed, the total count of signature and/or initial fields, a list of attachments included, and the IP addresses of the recipients).
The Signature History PDF is ingested into Analyze alongside the main agreement and any included attachments for ongoing storage.
Note: Timestamps on the Signature History PDF are recorded in EDT.
Frequently asked questions regarding the Signature and Recipient experience
Q: If I only added one signer when there should have been two, how could I add another signer if the agreement is already sent out for signature?
A: To modify a signature request you would need to move the status back to "ready for signature" which will void the existing request. Once the request is voided, you'll be able to resubmit the request to the counterparty.
Q: How does the counterparty reject the document, if they don't want to sign?
A: A counterparty is not able to reject a document. The agreement owner would have to move the status back to "ready for signature" if they want it re-sent.
