Overview
Send agreements out for signature via DocuSign directly from LinkSquares Finalize.
If you would like to integrate your Finalize instance with DocuSign, contact your Customer Success Manager. Once enabled, you will receive a prompt to sign in to your DocuSign account. After signing in, DocuSign will be successfully integrated with Finalize.
To learn more about executing agreements via DocuSign within Salesforce Finalize, reference our article on Salesforce Finalize: DocuSign Integration.
Finalize's DocuSign integration enables you to send one or multiple agreements for signature. This guide outlines the steps for both processes, as documented below:
- Send to DocuSign (Single Agreement)
- Send to DocuSign (Multiple Agreements)
- Modifying DocuSign Email Subject Lines
- Including Attachments in DocuSign Envelopes
Send to DocuSign (Single Agreement)
Once an agreement is in the Ready for Signature status, you can execute it via DocuSign within the individual agreement view.
Select DocuSign from the eSignature drop-down next to the latest agreement version.
Optionally, include agreement attachments as part of the envelope.
To learn more about attachments in DocuSign, reference our article on Finalize Attachments in DocuSign.
You will be prompted to log into DocuSign to verify your account.
Next, grant permission to LinkSquares to integrate with your DocuSign account.
Click Allow Access.
Once within DocuSign, follow the standard processes for preparing to send an agreement out for signature (i.e., adding recipients, adding fields, etc.).
Click SEND once complete.
The agreement has officially been sent out for signature to the designated signatories.
- The status of the agreement will change from Ready for Signature to Out for Signature.
- Signatories will receive an email prompting them to sign the agreement. They will follow the standard DocuSign processes to sign the agreement.
- The agreement status will change to Partially Signed after the agreement has been signed by some, but not all, required parties.
- Once the agreement has been fully signed, signatories will receive a copy of the agreement and the agreement status will change from Out for Signature or Partially Signed to Fully Signed.
Note: Once the agreement enters the Fully Signed status, the agreement may be automatically ingested into LinkSquares Analyze based on your Finalize Administrator team's settings. To learn more about these settings, reference our article on Analyze and Finalize Integration.
If a signatory decides not to sign the agreement and voids it, an error message will appear within the agreement. The status will revert from Partially Signed or Out for Signature to Ready for Signature.
If needed, make any required edits to the agreement and upload it to Finalize by clicking + NEW VERSION within the individual agreement view.
Once complete, re-send the agreement out for signature via DocuSign.
Send to DocuSign (Multiple Agreements)
Finalize can send multiple related agreements to DocuSign as part of one envelope. Agreements will be signed as part of a single envelope and then returned to Finalize as distinct signed agreements for ingestion into Analyze.
The process to send multiple agreements instead of a single agreement is largely the same.
In order for agreements to be eligible to be sent to DocuSign at once, the following conditions must be met:
- The agreements are related to each other via the Related Agreements functionality.
- The agreements are in Ready for Signature status.
Follow the steps below to send multiple agreements to DocuSign at once:
Verify that all agreements needed for the envelope are related to each other and are in Ready for Signature status.
Navigate to the main agreement you want to start the process from.
Note: starting the process from the correct agreement is important as the Finalize <> DocuSign integration can only support sending attachment files from a single agreement, regardless if multiple other agreements are being included in the envelope or not.
Select DocuSign from the eSignature drop-down next to the latest agreement version.
Select which of the eligible agreements you wish to send as part of the same envelope and click "Continue"
Log into your DocuSign account then configure and send the signature envelope package.
All related agreements that you selected will move to "Out for Signature" status together. As each signatory signs the document they will move to "Partially Signed" and then "Fully Signed" status together.
Once the envelope is completed and all agreements show "Fully Signed" they will migrate and be ingested to Analyze as separate agreements.
Users should take heed of the following considerations when using a single DocuSign envelope for multiple agreements:
- Reverting one of the agreements linked to the envelope back to another workflow status will void the envelope for ALL agreements.
- Users can remove an agreement file from the DocuSign envelope and the corresponding agreement in finalize will move back to "Ready for Signature" status.
Modifying DocuSign Email Subject Lines
Users can manually change the subject line within emails that are triggered by DocuSign while executing agreements. This can be useful when you would like to indicate that requests to sign and fully executed agreements came from your organization instead of LinkSquares.
While configuring the DocuSign envelope, click ACTIONS at the top of the page.
Select Edit Message from the drop-down.
Modify the subject line within the Email Subject field as desired.
Click DONE once complete.
Including Attachments in DocuSign Envelopes
Once an agreement reaches the Ready for Signature status, it can be sent out for signature via DocuSign. Agreement attachments can be included when executing agreements.
Click the paperclip icon at the top of the individual agreement view to add attachments to an agreement.
Browse locally or drag and drop the file(s) you want to be included as an attachment.
Once uploaded, attachments are stored within the Attachments section of the individual agreement view. To add additional attachments, click the + icon within this section.
Note: For best performance, DocuSign recommends restricting file uploads to no more than 5 MB.
Once the desired attachments are added to your agreement, select DocuSign from the eSignature drop-down next to the latest agreement version.
Mark the checkboxes next to eligible attachments to include in your DocuSign envelope within the Include attachments modal. This is optional.
Note: Ineligible attachments will be grayed out.
Click CONTINUE once complete.
You will be taken to DocuSign and prompted to log in.
Once within DocuSign, follow the standard processes for preparing to send an agreement out for signature (i.e., adding recipients, adding fields, etc.).
Click SEND once complete.
Note: The signed PDF version in Finalize does not include the attachments selected when sent out for signature through DocuSign.
